BOARD OF TRUSTEES
MINUTES
October 3, 2012
The meeting was called to order by Chair Patricia Sowada, at 6:33 p.m. Members present were: Nancy Hoium, Steve
Smith, Patricia Sowada, and Catherine Vesley. Also present: City Council Representative Tami Diehm, and Renee
Dougherty, Acting Library Director. Not present: Barbara Tantanella and Recording Secretary Stacey Hendren. Guest:
Marlaine Szurek, Library Foundation.
The Board welcomed Szurek to the meeting. Szurek discussed the December Foundation fundraiser at the Heights Theater

showing the movie Trouble with Harry. The event will be on December 2 at 1:30 and will include a small silent auction.
Szurek requested the Board donate a basket to the event.
The Board discussed the spaghetti dinner event.
Szurek exited the meeting.
The minutes of the September 5, 2012 Board meeting were approved as amended.
The bill list dated 9/12/12 of 2012 bills was reviewed. The payment for painting the lobby was noted. It was moved,
seconded, and passed that the bills be paid.
The bill list dated 9/26/12 of 2012 bills was reviewed. Dougherty notified the Board that the City Council approved the

extension of the 21 Century Learning Center Grant. It was moved, seconded, and passed that the bills be paid.
The 2012 accounting dated 10/3/12 was reviewed.
Old Business:
1. Dougherty provided the Board with an update on the Task Force. The Task Force is compiling a list of advocates
for the library and is investigating the best ways to communicate with the Board, Foundation and Friends. The
Board requested the Task Force minutes to be sent via email. The Board recommended contact with Mohammod
Idris, the CEO of ARAHA, as he is a leader in the Islamic community. The Board also requested materials be
available in Spanish.
2. The Board received their 2013 proposed budget detail books. Dougherty notified the Board that no decisions have
been made, however the levy has been set. The Board discussed the library’s portion of the levy and the possibility
of seeking grants or donations for additional language materials.
New Business:
1. The August crossover statistics were reviewed by the Board. The Board noted the high gate count.
2. The Board reviewed the Unique Management Status Report for August.
3. The Board reviewed the Library Board Service History and Membership Roster.

4. The 21 Century Community Learning Center Grant extension was renewed. The Library will receive 12,000 for
2013-2014.
5. The 2013 Holiday and Closed day schedule was approved as mailed.
6. Anoka County Libraries are purchasing the Collection HQ program. The program will allow Columbia Heights to
manage our collection with respect to demand. Purchasing decisions will be impacted by non-circulating
materials.

7. The Minnesota Library Association Conference is in St. Paul this year on October 3-5. Dougherty, Mai Kao
Xiong, Children’s Librarian, and Hendren will attend all or portions of the event.
Items from the Floor:
1. The Board was notified that evening supervisor Nancy Soldatow’s mother passed away.
2. The Board discussed donating a basket to the Foundation fundraiser.

3. Sowada reminded Board members of the Sister City fundraiser on October 21.
There being no further business, the meeting was adjourned at 7:45 p.m.
