HomeMy WebLinkAboutSept 16, 2006, Sub Comm Minutes MINUTES OF THE WARDS SUB-COMMITTEE OF THE CHARTER COMMISSION SATURDAY, SEPTEMBER 16, 2006 2:00 p.m. Columbia Heights Public Library Present: Katy Korday (Chair of Sub-Committee), Bob Buboltz, Nicole Druckrey, Jim Johnson, Mike Patiuk, and Josephy Sturdevant Also Present: Carole Blowers, Recording Secretary for the Charter Commission The meeting began at 2 p.m. Carole had prepared and sent out in advance of the meeting a draft council letter and attachments outlining potential costs for copying, producing labels, labor, postage, and/or ads and inserts in the local newspapers. It is felt more than $1,500 will be needed to disseminate the information about the ballot question properly. After a thorough discussion, it was decided to do one bulk mailing, which would consist of a one page (printed on both sides) article and stuffed in an envelope with labels provided by the Fire Department. Since it was unclear if the bid received on printing, folding, and sending 7,000 pieces out by bulk mail included envelopes, Carole will check on Monday with the printer to verify that. There may be more expenses than noted in the material provided today for doing the bulk mailing. It was decided to place a 1J4 page notice of our regular meeting in October in the Northeaster. The cost of this would be $468 for a one time notice. It was decided that the Charter Commission should ask for $1,500 in additional funds to accomplish this. If the price of envelopes was not included in the bid received on the bulk mailing, more may have to be added to that total. Carole will check on the price of city envelopes (14 boxes @ 500 in a box), and see if we can use them and provide them to the printer to print the bulk mailing information w/permit # on them. Carole will also find out if we can state "Important Ballot Information Enclosed" on the outside of the envelope. The meeting concluded at 3:25 p.m. Respectfully submitted, Carole 1.
