Rebecca Loader, Library Director SUBJECT: April operational report DATE: April 30, 2005 I. BUILDING MAINTENANCE A. The windows were washed 4/5. B. The fire extinguishers were serviced 4/6. C. Public Works replaced burnt-out light bulbs on both floors 4/12. D. The coin-op public service copier required a service call 4/15 (yes: on tax day). The service representative gave Kelly instructions on a different way to load the change. E. Orkin performed routine maintenance 4/20. The technician found an ant problem in the copier room and replaced all the bait. F. The main floor drinking fountain sprung a leak 4/23. G. Mary conducted a walk-through inspection with Fidelity Cleaners 4/27. H. Fidelity Cleaners buffed the Activity Room floors 4/29. I. The phone at the circulation desk in the Children's Department had to be repaired 4/18. II. COLLECTION A. Three book orders were placed in April. In addition, Marsha placed a large order for replacement paperbacks and titles to fill out series. B. Compact discs, dvd's, and Spanish juvenile videos and dvd's were ordered during the month. C. The last "enroute list" from DRA Classic is in the process of being completed. III. PROGRAMS A. Classes from Immaculate Conception School visited the Library during their regularly- scheduled times the week of 4/4-4/8. B. The Friends met at the Dragon House Cafe on 4/4. C. Eight sessions of storytime were held during the month. D. The Library Board met 4/5 with four members present. E. Immaculate Conception School has requested the use of the Activity Room as an evacuation site listed in their disaster plan. This is an appropriate use of the building and approval was given. Principal Kathy Lange and the teachers met in the Activity Room 5/4 to familiarize themselves with the facility. F. Becky met with Tracy Rohloff from the Work Force Center (WFC) 4/11. Tracy is interested in cultivating the relationship between the WFC and libraries. After 6/1, she will arrange for library staff to tour their facility and will make a presentation at a staff meeting. G. National Library Week, "Something For Everyone @ Your Library", was celebrated 4/11- 4/16. Library Board members Pat Sowada and Catherine Vesley accepted a proclamation from Mayor Gary Peterson at the City Council meeting 4/11. H. Two field trips for Headstart were provided at the Library 4/14. I. Kelly delivered posters and public relations materials to the schools 4/15. 1. The bulk loan was delivered to the schools 4/21. K. The Grandparent's Tea was held 4/23 to maximum capacity. IV. TECHNOLOGY A. Al installed drivers on the server 4/15 in preparation for going online 5/17. B. Aleksandr and Paul are working with Becky to change-out staff machines and prepare the hardware for the new Integrated Library System (ILS). The machines on the City LAN will be using a terminal server mode that will limit how much additional memory has to be added to each pc. C. Becky has attended numerous meetings in preparation for the new system. Three marathon meetings on policies and check-list assignments were held. D. Staff training is proceeding according to schedule. As of 4/27 15 of 16 Essential Skills classes, 6 of 13 Circulation classes, and 1 of 3 Circ Lite classes are complete. Becky has been the trainer for five classes and the assistant for one. E. Many data clean-up projects have been identified during the migration process. Staff will be occupied right up till 5/16. V. STAFF A. Becky attended the Library Operations Council meeting 4/7 and the Public Service meeting 4/14 at the County. B. Joanne Peterson celebrated her first year anniversary and Cristy Tombarge celebrated her third anniversary during April. C. Marsha attended a "Tell Me More" meeting 4/18. D. Becky attended a meeting 4/28 with the Division Heads and Tom Hilson, ICMA representative, about a proposed Post-Retirement Health Care plan VI. FOUNDA TION A. The Foundation Board met 4/13 with five members present. Plans for the peanut sale in June and the fundraiser at the Heights Theatre in December were discussed. Tom reported on the progress of "Tell Me More", the summer program funded by the Minnesota Regional Arts Council grant. VII. MISC A. B. Major projects: a. Training on ILS b. Preparation for ILS implementation A few items (e.g. broken chair, printer, etc.) were submitted for inclusion in the City auction. Staff does not anticipate much revenue from their sale. The Library participated in both tornado drills 4/21. Nine people were evacuated in four minutes at 1:45 p.m., and 15 people were evacuated in 3 Vz minutes at 6:55 p.m. c.
