Re: December 2000 Operational Report
Projects:
1. Acquisitions training. I had a two hour training session with Kelly on
magazine acquisitions. I learned the process of noting that the
magazine had been received in the acquisitions program and then
adding each issue in the database. The training helped me understand
the complete process from my putting the labels on each issue to the
pages displaying each issue.
2. Rolodex file. I finished typing the new Rolodex cards and they have
been placed in the Rolodex holder. The new cards include Ready
Reference cards for people/places that are frequently called or referred
to.
3. Children’s Program Counts. I have set up folders on the shared
directory for the Children’s Program counts. Marsha is able to enter
the counts as they happen and then we have a current count at all
times. This should make it easier for monthly reports and end of the
year reports.
4. Magazine Labels in Microsoft Word. I was able to figure out how to
prepare the magazine labels with Microsoft Word. The process is
somewhat more involved than it was with Corel but I have composed a
sheet with instructions so that when it comes time to train someone
else on the process, they should be able to follow the instructions
quite easily.
5. Seasonal plan. We have added cross-training in January and February
to my seasonal plan so that Jeanine and Kelly will be able to do some
of my duties while I am on maternity leave.
6. On-line training. I was able to complete Level 1 of the Word training.
I am looking forward to starting the next session.
7. Damaged book shelf. I took some time to weed through the damaged
book shelf and was able to discard many titles that had been paid for
and left here. All remaining titles have notes stating the date and the
patron’s name and control number.
8. Entering new books into database. I spent several days entering new
titles in the database while Jeanine was gone. I used some of the
acquisitions training from Kelly and I also used Jeanine procedures
manual.
Misc.
A. Magazines were labeled as needed (usually twice a week.)
B. System maintenance/fire extinguisher maintenance was
completed.
C. The ILL drawer and file were updated.
D. Bills and bill lists were completed as needed.
E. The monthly report for October was verified.
F. Monthly counts were updated in the computer files on a weekly
basis to make it easier to do month end counts.
G. Voice mail was completed for the various holidays.
